Windows Estimator and EA (Executive Assistant)

Position overview

The Estimator plays a key role in supporting the end-to-end quoting and tendering process. This role is responsible for interpreting plans, preparing accurate window and door quotations, coordinating supplier information, and maintaining clear communication with clients and internal teams.

With detailed product knowledge and strong attention to detail, the Estimator ensures all project requirements are correctly captured, quoted, and communicated, contributing to smooth project delivery and a high-quality customer experience. The Estimator serves as key support to the Director/Owner and acts as a central integrator across quoting workflows.

Main duties & responsibilities

1. Estimating - plans, specifications & project details

  • Review and interpret tender documents, drawings, schedules, and all relevant project information.
  • Identify correlations or discrepancies between schedules and energy reports (performance values, acoustic ratings, wind ratings, etc.).
  • Recommend suitable solutions that balance customer needs, performance requirements, and project specifications.

2. Estimation & data entry (VQuote & supplier coordination)

  • Enter framing, glazing, configuration, and specification details into VQuote with complete accuracy.
  • Source additional supplier quotes when required (installation, glazing, hardware, specialty configurations).
  • Apply supplier-provided pricing and integrate external information into final quotations.

3. Client interaction & sales support

  • Conduct follow-ups with existing clients through calls, emails, quote status updates, and satisfaction check-ins.
  • Maintain strong relationships with builders, architects, and clients to support ongoing sales opportunities.

4. Quotation & order administration

  • Review, update, and verify tender or quote details in line with client requirements and changes.
  • Handle inbound inquiries via email.
  • Assist the sales team with issue resolution including customer complaints, discrepancies, or invoicing questions.

5. Internal collaboration & data management

  • Act as right-hand support to the Director/Owner, helping integrate workflows across the business.
  • Communicate with internal teams regarding new quotes, accepted projects, and project changes.
  • Provide IT-related assistance, minor system troubleshooting, and document creation where needed.

Requirements & qualifications

Key skills & attributes

  • Strong knowledge of aluminium window and door systems (Vantage, Elevate, ThermalHEART preferred).
  • Ability to interpret architectural drawings, schedules, and technical documentation.
  • Excellent attention to detail with high accuracy in data entry and quoting.
  • Strong verbal and written communication skills for client and internal interactions.
  • Extensive experience with Microsoft Office Suite.
  • Ability to prioritize workflow and manage multiple projects simultaneously.
  • Problem-solving mindset with the ability to identify discrepancies and propose solutions.
  • Comfortable navigating digital quoting systems.
  • Strong administrative discipline and detail orientation.
