Position Overview

This national engine-room position is designed to handle the heavy lifting of high-volume transactional and administrative processing for the organisation's operations across Australia. Operating out of a centralized team, this role serves as a shared back-office utility, standardizing workflows across multiple systems and regions to keep field operations compliant, accurate, and moving forward.

The role reports directly to the Shared Services Team Leader or Regional Administration Manager. Unlike regional managers, this role works from a fixed office location, managing centralized shared inboxes and processing requests globally rather than being tied to an individual physical facility.

Position Objective

This is strictly a transactional execution role, focused on disciplined data processing. The Shared Services Officer acts as a processor of data with no authority regarding financial approvals, budget ownership, customer disputes, pricing adjustments, or staff management. Any anomaly or deviation from approved work instructions is immediately escalated to an onshore manager.

Key Responsibilities

Financial & Billing Administration

  • Powers the accounts payable and accounts receivable pipelines by processing supplier invoices, matching documents, executing recurring billing cycles, coding the General Ledger, and building monthly financial reporting packs.

Operational Logistical Records

  • Acts as data infrastructure support by logging operational metrics into systems, tracking stocktake reconciliations, managing transport requests, and keeping asset/equipment registers updated.

Workforce & Payroll Support

  • Manages employee timesheet entry, updates labor rosters, tracks leave and training records, and generates operational productivity and labor reports.

Compliance & Safety Documentation

  • Keeps the organisation audit-ready by indexing safety incidents, hazard reporting, contractor credentials, and toolbox talk minutes into relevant systems.

Requirements & qualifications

Competencies & Skills

  • Highly organized and process-driven with a strong attention to detail.
  • Ability to thrive on routine and high-volume data processing within rigid Service Level Agreements (SLAs).
  • Exceptional eye for catching discrepancies, aiming for a processing error rate under 2%.
  • Proficiency in multiple enterprise software tools (e.g., CargoWise, Elmo, Evolve, DoneSafe).
  • Ability to balance strict confidentiality requirements with high-volume task demands.
  • Strong administrative and clerical professional background.
